Academy Arts Terms and Conditions
Registration
Prior to arrival, new starters must be booked online by the parent/guardian. These details will be stored on class for kids. By registering you will be accepting the Terms and Conditions contained within this document. It is the parent/guardian’s responsibility to keep contact details/ personal information up to date.
We reserve the right to use these personal details to contact relevant authorities should we have serious safeguarding concerns regarding a child. We will otherwise only use personal details for keeping in touch or for use in an emergency. Please see our safeguarding policy for further information.
Your personal information is kept confidential and will only be shared on a ‘need to know’ basis among staff members.
A membership fee is payable of £15 per student. This should be paid online prior once per year in July or prior to starting your lessons. It is compulsory to wear AABEJ uniform to class & you will be signed up to our exclusive mailing list.
Fees
Our classes are charged as a flat rate fee similar to a gym membership:
Our fees are pro-rota and are spread evenly over 12 month.
Classes are charged in increments:
1 x weekly 45 mins class = £20 per month
For a one 1 hour weekly class = £25 per month.
For a 1.5 hour weekly class = £38 per month.
We do not offer payment holidays; classes are on a rolling subscription only basis.
On subscribing, student spaces are reserved for the month regardless of planned holiday or illness and are therefore still chargeable.
To make a change to class registrations, parents/guardians must make contact at least by the 14th of the month prior.
On terminating your class bookings (via contacting our team on email academyartsbyej@gmail.com) there is a one month notice period, meaning you will still be charged for the month after you leave.
If your payment is late/ unsuccessful you will be charged a £10 admin fee. This is to account for added admin time.
Repeat failure to make payment owed may result in refusal of admission to class.
Photography and videos:
Parents/guardians are asked to provide consent for photography and videos on registration, it is the responsibility of parents/guardians to make it known if consent is not provided and/or if consent is to be withdrawn at any time. Photos and videos will only be taken by members of staff or professional photographers and will only be used for advertising purposes via social media channels and/or for professional auditions.
Health
Any medical and/or health concerns are to be communicated on registering and caregivers are responsible to update Academy Arts on any health matters that should be considered when delivering classes, supervising and caring for children.
Uniform
Uniform is compulsory and can be purchased via the front desk.
Personal Belongings
Parents/guardians/children remain responsible for personal belongings. It is important to ensure that uniform is identifiable via names on tags. Whilst we do store lost property for a limited time, we cannot accept liability for lost or damaged belongings.
Corrections
Dancing and performing are physical skills, we therefore may need to help facilitate a student learning by using physical touch. This will always be done in a professional manner and intention will be made clear. Please contact us should you have any queries regarding this.
Collection from class
Please collect your child promptly at the end of class, where it is apparent that a child has not been collected, they will be assisted to make contact with their caregiver and supervised whilst waiting however it is important that parents take responsibility for collecting children promptly.
A late pickup fee of £10 will be added to your next bill if you collect your child unreasonably late.
Children are not permitted to leave the building alone unless permission is provided by a parent or caregiver.
Where another adult is to collect your child, please make sure to communicate this to the child and to a staff member so that we can ensure children are released to adults with permission to collect.
We operate a password option should this be required – speak to front desk to enquire about this.
Communication
We operate an email system, this is our primary method of communicating important news, updates, opportunities and the method by which we issue invoices.
Guardians of competitive dancers are asked to join whatsapp groups which are moderated by volunteers. These groups are solely for communication regarding the competitive team.
We are able to take enquiries and will respond to messages via our facebook messenger service.
As a general rule, we discourage communication regarding Academy Arts matters via personal social media channels, this is to protect staff boundaries.
Data Protection
We do not share information with third parties.
We may use data to contact our customers in relation to:
News and updates about the school
Fees, invoicing and payment matters
Emergency notifications (such as changes to planned lessons or cancellations)
Any other information relevant to the school and student progress
Risk
Dance and theatre are physical activities and contain a degree of risk. Whilst we do have experienced staff members, chaperones and first aid trained staff members, students taking part in classes run by Academy Arts do so at their own risk.
Conditions
If students or their caregivers break our terms and conditions and/or code of conduct, we reserve the right to terminate membership and refuse further access to classes.
Any complaints should be addressed to the principals directly.
